Guide For Managing Menu Items
Before adding menu items, you need to set up your categories, as every menu item must belong to a category. If you haven’t created your categories yet, please start there.
Once your categories are set up, you can add your first menu item by clicking the “Create New Item” button.
Initially, it will be titled “New Menu Item (1). Rename and edit it!”. Begin by renaming it—simply enter your new title in the Item Title field.
To add a short or detailed description for the item, click the “+” icon next to the Item Description heading.
Tip: Ideally, you’ll have already set your languages before you start adding menu items. If you have, you’ll see buttons to open input fields for each language. This allows you to add translations for the title, short description, and long description.
If you need help translating your menu, feel free to contact us at contact@yourdigitalmenu.com or via WhatsApp at +34 672 076 448—we may be able to help.
Important: Click Save Changes frequently as you enter new text. Otherwise, if you forget and navigate to another menu item or page, you’ll lose any unsaved data. Save buttons are located both at the top and bottom of the menu item box.
As mentioned earlier, every item must be assigned to a category. Choose a category from the dropdown list under the “Select a Category” header
You can access your menu items in two ways:
-
By Category:
-
Select a category from the dropdown in the left-side banner.
-
You’ll see a list of all items in that category. Click any item to open its details page.
-
-
By Title Search:
-
Use the “Search by Menu Item Title” dropdown at the top of the page.
-
This lists all your items in alphabetical order, allowing you to quickly locate and edit any item.
-
-
Keep in mind that if you rename an existing category, its menu items will lose their connection and won’t automatically appear under the new category name.
To find the affected menu items, use the “Search by Menu Item Title” search bar. Then reconnect them to the renamed category and click “Save Changes.”
Each menu item can have up to three prices to represent different variants, such as size, weight, or portion.
-
If you don’t need all three variants, start filling the price fields from the top.
-
Use the Default Price if you only have one variant.
-
Use the Default and Second Price fields if you have two variants.
-
The Price Title fields are optional. If you leave them blank, they won’t appear on your menu. Price titles will only be displayed if you have at least two variants for the item.
We recommend using internationally recognized labels for price titles, such as S, M, L, XL or 100g, 150g, 200g, as these will not be translated.
Important: Any price changes made here will immediately affect your live menu. If you want to test new pricing without publishing changes, use the Pricing Sandbox page instead.
-
You can add a photo to your category using the Upload button.
Adding a photo is optional. If you don’t upload one, it will simply collapse in the menu display.
Important: Only upload images you have full rights to use. Uploading photos from the internet without proper permission can lead to serious legal consequences, including fines and court action.
By using our platform, you acknowledge and accept that if we receive any legal claims regarding photos you’ve uploaded, we will forward these claims to you.
You can also include a video for your menu item.
All videos must be hosted on YouTube. Simply paste the YouTube URL into the designated field.
Don’t have a YouTube channel or prefer not to use yours? We’d be happy to host your video for you! Just message us on WhatsApp (+34 672 076 448) and we’ll help you upload and link it.
In many countries—including the entire European Union, the UK, and the USA—it’s mandatory to display whether a product contains any of the 14 allergens defined by international law.
Click the “Set Allergens” button and select the relevant allergens using the checkboxes. The chosen allergen icons will appear under the item on your menu, along with a translated written list.
When guests use the interactive allergen filter, all items containing allergens they’ve selected will automatically be hidden from their menu view for the duration of their session.
After clicking the “Set Ingredients” button, you can assign icons to the item to indicate its ingredients—such as fish, pork, etc.—or highlight important attributes like spicy, halal, vegan, and more.
You can choose to hide an item from your menu during specific times. For example, if you don’t serve a meal after 11:00 a.m., select all days and set “Hide from” 11:00 a.m. “Until” your closing time.
If you have items that should appear only on weekends, simply select all weekdays to hide and set the timing from your opening to closing hours.
The menu item will automatically be hidden during the specified times and visible at all other times.
If you wish to stop offering a meal or drink temporarily without deleting it, use the Hide Item button.
The product won’t appear on your menu until you reactivate it by clicking Show Item.
In the left-side menu item list, hidden products are shown in red.
You can arrange the order of your items in two ways:
-
Change the number next to each item title in the left-side menu item list.
-
Modify the Position number in the blue header of each item. Remember to click Save Changes after updating the number here.
The order numbers don’t need to be consecutive. You can assign higher numbers to some menu items to create space for adjusting others. The system will always display items starting with the lowest number and progressing to higher ones.
-
To add more menu items, click the Create New Item button at the bottom of the page.

You can enhance your special offer with images:
-
an optional background image, displayed at 45% opacity over your selected background colour, (If you don't need a background image, simply skip the first image upload button.)
-
and a language-specific main image, displayed according to your guest's selected language.

Displaying special offers in your digital menu is a powerful marketing tool that you can use in many creative ways.
Your Special Offers section can be shown or hidden at the click of a button, or you can schedule its visibility automatically based on the day and time. You can even create multiple offers and have them automatically replace one another according to your schedule. It's prominently displayed at the top of your menu's starting page, just above the list of categories, ensuring your guests won't miss it.
The section includes seven fully optional elements, giving you complete flexibility over its appearance. You can use as many or as few as you like, and any elements left empty will automatically be hidden.
You can add three different titles, a description, a price, a main image, a background (or watermark) image, and even a video.
The main image maintains its original aspect ratio, allowing you to control the height and overall appearance of the section simply by choosing the right image dimensions.
Images can also be customised for each language, so you can upload beautifully designed promotional graphics with embedded text tailored to your international guests.
Here are just a few ways you can use this feature:
-
Promote special deals: Highlight limited-time offers, meal combos, happy hours, or daily specials.
-
Advertise upcoming events: Let guests know about live music, themed nights, parties, or other events.
-
Promote live sports: Announce upcoming football matches and other sporting events shown on your TV screens.
-
Create time-sensitive promotions: Automatically display breakfast, lunch, dinner, or evening offers at the right time.
-
Highlight something special: Draw attention to new dishes, seasonal menus, or anything else you want your guests to discover.
And that's just the beginning! With flexible scheduling, multilingual visuals, and full control over the design, your Special Offers section can become one of the most effective promotional tools in your digital menu.

Do You Want to Offer Loyalty Programs?
Special Offers is a feature that lets you highlight special deals, promotions, or any important information at the top of your digital menu.
These offers appear above your category list on the start page of your menu, ensuring maximum visibility for your message.
A Special Offer can include up to seven elements:
-
Title
-
Subtitle
-
Description title
-
Description
-
Price
-
Image
-
Video
All of these elements are optional. If you leave any blank, they will simply collapse and remain hidden from view. This means you can get creative and use Special Offers to display any message you’d like—even if it doesn’t include a price.
-
To create a new Special Offer, simply click “Create New Offer.” The interface works similarly to the Categories or Menu Items dashboards.
-
You’ll be able to enter text for each element in all the languages you’ve set up for your menu.
-
You can add an image. (For best performance, use small file sizes, and always ensure you have the right to publish the image.)
-
You can add a video. Videos must be hosted on YouTube. If you don’t have your own YouTube channel, we’re happy to help upload and link your video to our channel. Contact us via WhatsApp at +34 672 076 448 for assistance.
-
Use the toggle switch under “Display Special Offer in Menu” to choose whether you want Special Offers to appear on your menu. The change takes effect immediately. You can turn this feature on or off at any time.
You can set your offers to appear only on specific days or during certain hours. Click the “Set Timing” button and choose the days and times when you’d like your offer to be hidden.
If you want an offer to stay hidden regardless of timing, simply click the “Hide Offer” button. The offer will remain invisible on your menu until you manually click “Show Offer.”
Yes! You can create as many Special Offers as you like. This makes it easy to prepare offers in advance and quickly switch between them based on what you want to promote.
However, please note that only one Special Offer can be displayed on your menu at any given time. Each Special Offer can be assigned an order number. Order numbers do not have to be consecutive. You can leave gaps between numbers to allow flexibility for future adjustments.
At any given moment, the system will display the visible offer with the lowest order number.
An offer is considered visible if it is not hidden by either:-
the time-based schedule (Set Timing), or
-
the general “Hide Offer” button.
Example:
Imagine it’s Saturday at 9:00 PM. You have the following offers:-
An offer with order number “1,” but it’s scheduled to be hidden on Saturdays from 7 PM to 10 PM.
-
An offer with order number “2,” which is hidden using the “Hide Offer” button (indicated in red on the list).
-
An offer with order number “4,” which is hidden only on weekdays but is visible on Saturdays.
-
Three additional offers with order numbers 7, 10, and 18.
In this scenario, your menu will display the offer with order number “4” because it’s the lowest order number that is not hidden at the current time.
